Position Summary:

The Administrative Assistant is an integral member of the WorkBC team and works within the strategic objectives of Pacific Community Resources (PCRS) to ensure the provision, coordination, and exceptional delivery of the WorkBC program. The primary role of the Administrative Assistant is to provide administrative support to the Midtown WorkBC Centre, which includes both WorkBC specific requirements and general administrative duties. This position must know about the WorkBC contract and services available to ensure accurate financial documentation and data entry.

Primary Duties:

  • The tracking and reporting of contractual targets for the center.
  • Submitting sustained outcome fees (SOF) milestone (CMF) fees in ICM, ensuring that the supporting documents are uploaded.
  • Complete billing for Short Term Training (STOC), bus tickets and other financial support issued to participants.
  • Work with staff regarding wage subsidies for participants and reimbursement of wages to employers.
  • Keep a count of gas cards, food vouchers, and bus tickets weekly.
  • Coordination of confidential direct service and systems information management.
  • Ensure computerized records are captured accurately and maintained based on procedures and assist staff with capturing, cleaning, and processing of data.
  • Provide daily administrative and data entry services to various data management systems and produce monthly summary statistics and automated reports on request of authorized individuals. This position must know about the WorkBC contract and services available to ensure accurate financial documentation and data entry.
  • Communicate effectively with coworkers and staff; actively engage, initiate, and participate in team efforts within WorkBC centers
  • Participate in staff meetings, committee meetings, staff training, and agency staff meetings.

Academic and Job Experience Required:

  • Grade 12, plus 2-3 years related experience.
  • Strong comprehension of all Microsoft Office programs and database systems, including M.S. Word, Excel, Access, and various web-based applications.

Basic Requirements:

  • Criminal Record Check including the vulnerable sector
  • Proof of being fully Vaccinated for Covid19
